Introduction

The assessment tasks for ICTICT612 Develop contracts and manage contracted performance are outlined in the assessment plan below. These tasks have been designed to help you demonstrate the skills and knowledge that you have learnt during your course.

Please ensure that you read the instructions provided with these tasks carefully. You should also follow the advice provided in the IT Works Student User Guide. The Student User Guide provides important information for you relating to completing assessment successfully.

Assessment for this unit

ICTICT612 Develop contracts and manage contracted performance describes the skills and knowledge required to negotiate and document contractual arrangements between clients and vendors and to monitor and manage performance against agreed contractual obligations.

For you to be assessed as competent, you must successfully complete two assessment tasks:

Assessment Task 1: Knowledge questions – You must answer all questions correctly.

Assessment Task 2: Project – You must work through a range of activities and complete a project portfolio.

Assessment Task 1: Knowledge Questions

Knowledge questions are designed to help you demonstrate the knowledge which you have acquired during the learning phase of this unit.

Discuss – when a question asks you to discuss something, you are required to point out important issues or features and express some form of critical judgement. Generally, you are expected to write a response one or two paragraphs long. 

Describe – when a question asks you to describe something, you should state the most noticeable qualities or features. Generally, you are expected to write a response two or three sentences long. 

Evaluate – when a question asks you to evaluate something, you should put forward 

arguments for and against something. Generally, you are expected to write a response one or two paragraphs long. 

Examine – when a question asks you to examine something, this is similar to “analyse”, where you should provide a detailed response with key points and features and provide critical analysis. Generally, you are expected to write a response one or two paragraphs long. 

Explain – when a question asks you to explain something, you should make clear how or why something happened or the way it is. Generally, you are expected to write a response two or three sentences long. 

Identify – when a question asks you to identify something, this means that you are asked to briefly describe the required information. Generally, you are expected to write a response two or three sentences long. 

List – when a question asks you to list something, this means that you are asked to briefly state information in a list format. 

Outline – when a question asks you to outline something, this means giving only the main points, generally, you are expected to write a response a few sentences long. 

Summarise – when a question asks you to summarise something, this means (like “outline”)

Information for students

In this task, you are required to demonstrate your skills and knowledge by working through a number of activities and completing and submitting a project portfolio.

You will need access to:

a suitable place to complete activities that replicates a business environment including a meeting space and computer and internet access

your learning resources and other information for reference

your ICT Simulation Pack or their workplace’s policies and procedures, contract templates and business plan including key information about the business’ strategy and objectives.

Carefully read the following:

This project requires you to negotiate and document contractual arrangements between clients and vendors and then to monitor performance as per the contract developed.

This project can be based on the case study businesses in the ICT simulation pack or you may like to base this on your own business, or a business you are currently working for or are familiar with. It is important that this business has clients and vendors that you can work with to negotiate contracts for, plus you will need to be able to access the workplace’s business plan, policies and procedures relevant to contracting and service level agreement templates. Speak to your assessor to get approval if you want to base this on your own business or one you work for.

You will be collecting evidence for this unit in a Project Portfolio. The steps you need to take are outlined below.

Vocational education and training is all about gaining and developing practical skills that are industry relevant and that can help you to succeed in your chosen career. For this reason, basing your project on real relationships with classmates or work colleagues will mean that you are applying your knowledge and skills in a relevant, practical and meaningful way!

Planning

Make sure you are familiar with the business you are basing this assessment on and have read through the necessary background information and policies and procedures. For the case study business, this is all of the documents included in the ICT simulation pack. If it’s your own business or a business where you are working or are familiar with, it’s important at this step that you have your business or case study approved by your assessor.

Complete Page 4 of your Project Portfolio for this unit.

Read through the requirements of Section 1, 2 and 3 of your Project Portfolio which include detailed guidance relevant to all the assessment activities.

Contract establishment

This assessment requires you to negotiate and develop a contract.

You will need to follow processes for developing and negotiating contract requirements, understand the needs of the client and contract requirements and then document the contract.

If you are completing this assessment for the case study business, you are to review the information in the ICTICT612 Simulation Pack.

If you are completing this for your own business, or a business you are currently working for or are familiar with, you will need to select a client to negotiate and develop a contract for and follow your workplace’s procedure for developing and negotiating contracts. The client can be an internal or external client.

Complete Section 1 of your Project Portfolio.

Submit your Portfolio to your assessor.

Round table discussion

In a group round-table style discussion with a student group of approximately four or five, you will present the contract you have developed. Other students in your group will be there in the role of the client and vendor and will provide feedback on the contract you have developed to clarify any problems with it.

Each person in your group will present their contract and so you will also need to provide feedback to them on their contract.

Each person will have a turn of approximately 10 minutes per person.

If you are completing this task based on your own business, you may present your contract to your client and relevant vendor/s at work.

Make notes on the feedback you receive and document this in your Portfolio – Section 2. You will also update your contract based on this feedback.

Your assessor will also be looking to see that you can:

demonstrate effective communication skills including:

Speaking clearly and concisely

Using non-verbal communication to assist with understanding

Asking questions to identify required information

Responding to questions as required

Using active listening techniques to confirm understanding

This can either be viewed in person by your assessor or you may like to video record the session for your assessor to watch later. Your assessor can provide you with more details at this step. Make sure you follow the instructions above and meet the timeframes allocated.

Monitor contract performance, document outcomes and make recommendations

If you are using the case study business you are to complete this activity. If you are using your own business, you may report on progress of the contract. If this is not possible, you may also complete this same activity below.

Review the detailed questions in the Portfolio to complete the activity.

Assume it is one month later and the following information has been received regarding contract progress:

Client – Operations Manager

I am concerned with the delays with this project. The timelines agreed were that the equipment would arrive within one month of the contract being signed. The vendor has informed us that there is a delay of 3 weeks. This is particularly troubling as a window of 1 month was given to get the equipment installed (during the Christmas holidays) and to make sure it’s all up and running in time for the new year. This was also to ensure that there was minimal disruption to everyone.

I’m also unhappy with the rather poor attitude our vendor displayed when I was speaking to them about these issues.

Vendor

I am sorry to inform you that there is a delay with the arrival of the equipment. This is partly due to the fact that our invoice was paid 2 weeks late.

It is also due to factors beyond our control as due to COVID-19 sourcing equipment and having timelines met has been challenging.

Owing to these factors, there will be a delay of 3 weeks.

I have communicated these issues clearly but your Operations Manager was quite aggressive when I was trying to explain issues.
